Privacy Policy
This Privacy Policy, last updated April 21, 2026, describes how Paravant Systems, LLC ("we," "us," or "our"), a Wyoming Limited Liability Company, collects, uses, and shares information when you use our website at paravantsystems.com and our software as a service (SaaS) platform (collectively, the "Services"). This policy applies to all users of our Services, including visitors, registered users, and customers.
We collect and use information to operate and enhance our business. This policy covers both personal information (such as your name, email address, or other data that can identify you) and non-personal information (such as aggregated usage statistics). "Personal Information" means any information that identifies or can be used to identify an individual, including but not limited to name, email, payment details, IP address, device information, usage data, and any other data we obtain.
Our Services may include AI features that involve third-party AI models and service providers, and we may share data with these providers to enable those features and for other purposes.
This policy complies with applicable U.S. laws where they apply to us. It does not cover health data regulated under HIPAA, as we do not handle such data. This policy should be read alongside our Terms of Service, which govern your use of the Services.
If you have questions about this policy, please contact us at support@paravantsystems.com.
1. Information We Collect
We collect a broad range of information to support our Services, business operations, and improvements.
We categorize the information we collect as follows:
(a) Information Provided by Users: This includes any data you voluntarily provide, such as your name, email address, phone number, billing information, payment details (processed via third-party providers), content, queries, feedback, and any other inputs through our Services, including AI features.
(b) Automatically Collected Information: When you interact with our Services, we collect data like your IP address, browser type, device information, operating system, location data, referral sources, pages viewed, time spent on pages, clickstream data, usage logs, and behavioral patterns.
(c) Information from Third Parties: We may receive data from integrations, partners, public sources, or other entities, such as authentication services, analytics providers, or social media platforms.
For AI features, we collect user inputs like queries or content you provide, which may be shared with third-party AI models and service providers. Interactions with these features may also generate inferred data, such as preferences, profiles, or predictions derived from your activities, to support various uses.
We may combine data from these sources to create comprehensive user profiles.
Categories of Personal Information We Collect (for transparency):
Commercial information (billing details, subscription history)
Internet/network activity (usage logs, pages viewed, clickstream)
Geolocation (approximate, from IP)
User-generated content and AI inputs (queries, prompts, feedback)
Inferred information (preferences and profiles derived from activity)
Identifiers (name, email, phone number, IP address, device ID, account credentials)
2. How We Collect Information
We collect information through various methods to optimize our Services.
Forms and User Inputs: When you create an account, subscribe, contact support, or use features like AI-assisted tools, you provide information directly via web forms, APIs, or other interfaces.
Cookies and Tracking Technologies: We use cookies, pixels, web beacons, and similar technologies to track user behavior, remember preferences, analyze usage, and deliver targeted content. We may use these for essential and non-essential purposes.
Analytics Tools: We employ third-party analytics services to collect usage data automatically.
For AI features, when you use our AI-assisted tools, your query or input is captured and sent to third-party AI models and service providers for processing. We collect data through these interactions and may obtain additional insights from the models.
3. How We Use Your Information
We use your information for a wide variety of purposes to support our business.
These purposes include, but are not limited to:
•Providing, maintaining, and enhancing the Services, including processing subscriptions, delivering features, and responding to requests.
•Conducting analytics, research, and development to improve our products, create new features, and understand user trends.
•Personalizing experiences, including targeted marketing, recommendations, and communications.
• Ensuring security, preventing fraud, and enforcing our policies.
• Any other business purposes, such as internal operations, auditing, or strategic planning.
We do not sell your Personal Information.
For AI features, we use your inputs to process them via third-party AI models and service providers to generate responses or outputs. Your data may contribute to model training, improvement, or other uses by us or those third parties, as models may vary over time. We may use data in aggregated or anonymized forms, but reserve the right to use it in identifiable forms where beneficial.
Communications and Messaging (Transactional SMS)
We use your contact information, including phone numbers, to send transactional SMS messages in response to your inbound customer support requests or for essential account and service notifications (for example, deadline reminders, status updates, or support follow-ups). These messages are sent using third-party providers such as Twilio and are not used for marketing or promotional purposes.
By providing your phone number (for example, during account setup, support interactions, or service use) or by initiating contact with us, you consent to receive these transactional SMS messages. We include clear opt-out instructions and HELP information in every SMS message we send.
Message and data rates may apply. Standard messaging rates from your carrier apply; we do not charge premium rates for these messages. Frequency varies based on your support needs and account activity (typically as-needed, not recurring marketing).
We maintain records of consent and opt-out requests as required for compliance with applicable laws, including the Telephone Consumer Protection Act (TCPA) and carrier guidelines.
Sharing and Disclosure of Information
We may share your information broadly to support our operations and partnerships.
We share with:
Affiliates and Service Providers:
To assist with hosting, payment processing, analytics, marketing, customer support, or other functions. This includes third-party providers such as Twilio, which we use to deliver transactional SMS messages. When we use Twilio or similar messaging providers, we share your phone number and limited relevant context (such as support query details or account information necessary for the message) solely for the purpose of delivering those messages.
Third Parties for AI Features: We disclose your inputs and other data to third-party AI models and service providers for feature functionality, training, research, or other purposes. These providers have their own privacy policies.
Other Recipients: With business partners, advertisers, or in cases of business transfers (e.g., mergers, acquisitions), legal requirements (e.g., law enforcement), or for any other reason we deem appropriate.
We may provide lists of subprocessors upon request but reserve the right to change sharing practices with notice where we choose. Data may be shared in identifiable or anonymized forms, and we may use it for AI training or other innovations.
5. Data Security and Retention
We implement measures to protect your information as we deem appropriate.
These may include encryption, access controls, and audits. We have incident response plans and will notify users of breaches only as required by law.
We retain your information for as long as reasonably necessary for our business purposes, including:
•Active account and subscription data: for the life of your account plus up to 2 years after account termination (or longer if needed for legal, tax, or security reasons).
• Usage logs and analytics data: typically 12–24 months.
• AI feature inputs and outputs: up to 12 months for active use, or longer if used for model improvement.
• Backups and system logs: up to 7 years for security, disaster recovery, and compliance.
• SMS consent records, opt-out logs, and message activity: at least 5 years (or longer as required by law or our Terms of Service) to support compliance with TCPA, Twilio policies, and carrier requirements.
Data shared with third-party AI providers is subject to their security and retention practices. We delete or anonymize information when it is no longer needed.
6. Your Rights and Choices
Your rights regarding your Personal Information are limited to those required by applicable law.
We do not offer opt-outs for marketing, data sharing, AI processing, or automated decision-making unless mandated by law. Similarly, we do not provide account deletion, data access, correction, or deletion options except to the extent strictly required by law (e.g., in specific jurisdictions where thresholds are met).
Marketing Communications: You may unsubscribe from marketing emails at any time by using the unsubscribe link provided in those emails.
SMS Communications (Transactional Support Messages): You may opt out of receiving SMS messages from us at any time by replying STOP, CANCEL, UNSUBSCRIBE, QUIT, or END to any message we send. You may also contact us at hello@paravantsystems.com to request opt-out. We honor opt-out requests promptly and will send one confirmation message. Opting out will not affect your ability to receive other essential service communications (such as emails or in-app notifications) unless you specifically request otherwise.
Do Not Track: We do not respond to Do Not Track (DNT) browser signals, as there is no uniform standard for how such signals should be interpreted.
If you believe a law requires us to honor a request, contact us at with details, and we will evaluate it. We may require verification and reserve the right to deny requests where not legally obligated.
7. Children's Privacy
Our Services are not intended for children under the age of 13. We do not knowingly collect Personal Information from minors. If we become aware of such collection, we may retain or delete it at our discretion.
8. International Data Transfers
Our Services are hosted in the United States, so if you access them from outside the U.S., your data will be transferred to and stored in the U.S.
We may use safeguards for international transfers where we choose, but note that U.S. laws apply, which may differ from those in your country. Third-party AI providers and messaging providers may involve additional international transfers.
9. Changes to This Policy
We may update this policy at any time for any reason.
Changes will be posted on our website with the updated "Last Updated" date. For material changes that significantly affect how we collect, use, or share your Personal Information, we will provide notice (such as a prominent website announcement or email to registered users, where feasible) at least 30 days in advance where practicable. Your continued use of the Services after the effective date of any changes constitutes acceptance of the updated policy. Material changes apply prospectively to new data collection and processing; they do not retroactively alter how we handle your previously collected Personal Information without your consent or a clear legal basis.
